The Solution
MITE Inc. has developed a customizable
Web based Document
Management System (DMS).
This system will allow Association users to access
documents from anywhere over the Internet or Intranet. Moreover
wireless enabled devices such as Personal Digit
Assistants (PDAs) and cell phones, now equipped with Internet
Browsers can access information from anywhere wireless services
exist.
The above diagram shows that documents can
be uploaded to a Web Server and downloaded by associates in
geographically remote locations. Any Branch Office or Department can
share these documents and post new documents to the DMS. Moreover,
the DMS has a Search Engine which will find documents by searching
titles with a partial strings of characters. Database
administrative functionality permit the creation of Categories and
Sub-Categories or sorting documents by location and Department Name. The
latter is the customizable feature of the system.
Benefits: 1)
The use of a Relational
Database allows users to post and search documents in a Web
Based Document Library 2) This Application is ideal for conference
calls where participants can download and view the same
document 3)
Alternatively, documents
can be downloaded and stored in a PDA, prior to a meeting.
4) This DMS circumvents the
limitations and sluggishness of unsecured email and its typical 5MB
upper
limits. The DMS provides
an authenticated access to your documentation with storage limits
only
determined by the size
of hard drive on the Web Server. Avoid having to email the
same document to
several recipients by using
the DMS.
